Final determination of scheduling occurs through a short application process. Applications typically receive an answer within one week of submitting the&nbsp;<a href=\"https:\/\/www.kff.org\/kff-conference-center-request-form\/\">KFF Conference Center Request Form<\/a>. Please contact&nbsp;<a href=\"mailto:sfcc@kff.org\">sfcc@kff.org<\/a>&nbsp;if you have any questions about eligibility of your organization.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-to-apply-and-schedule-an-event-at-the-kff-san-francisco-conference-center\"><strong>How to Apply and Schedule an Event at the KFF San Francisco Conference Center<\/strong><\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\"><strong>Complete the&nbsp;<a href=\"https:\/\/www.kff.org\/kff-conference-center-request-form\/\">KFF Conference Center Request Form<\/a><\/strong>. Please include any backup dates you may have for an event.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Email the completed application to\u00a0<a href=\"mailto:events@kff.org\"><a href=\"mailto:sfcc@kff.org\">sfcc@kff.org<\/a><\/a><\/strong>. Once we receive your application, you will usually receive notice of our decision within one week.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong><strong>Set up a preliminary site visit.\u00a0<\/strong><\/strong>If you are not familiar with our conference center, email our conference center manager at <a href=\"mailto:events@kff.org\"><a href=\"mailto:sfcc@kff.org\">sfcc@kff.org<\/a><\/a>\u00a0to schedule a site visit.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Schedule a logistics and AV meeting<\/strong>. The San Francisco office will work with you to schedule a logistics and audiovisual call 2-4 weeks in advance of your event.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Submit drafts of event email alerts, invitations, agendas and publications.\u00a0<\/strong>We review event publications and emails to verify that our facility is not misrepresented. Please submit draft press releases, invitations, email alerts, etc. to <a href=\"mailto:events@kff.org\"><a href=\"mailto:sfcc@kff.org\">sfcc@kff.org<\/a><\/a> for review and pre-approval.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Select caterers and other event vendors<\/strong>. Select a caterer from our list of approved caterers&nbsp;and notify<a href=\"mailto:sfcc@kff.org\"> <\/a><a href=\"mailto:events@kff.org\"><\/a><a href=\"mailto:sfcc@kff.org\">sfcc@kff.org<\/a>&nbsp;of your choice. <em>Note<\/em>: you are responsible for ordering these items from your caterer:\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\"><span>Round tables (if using rounds as your setup) <\/span><\/li>\n\n\n\n<li class=\"wp-block-list-item\">L<span>inens<\/span><\/li>\n\n\n\n<li class=\"wp-block-list-item\"><span>Beverage services and breakfast, lunch, snacks, etc.<\/span><\/li>\n\n\n\n<li class=\"wp-block-list-item\">Drinkware, flatware, dinnerware, etc.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Troubleshoot event AV logistics.&nbsp;<\/strong>Submit any questions you may have concerning audiovisual requirements to our conference AV team.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Submit any webcasting requests:<\/strong>&nbsp;Organizations wishing to have their event videotaped and\/or webcast are responsible for contacting and coordinating with&nbsp;<a href=\"http:\/\/sparkstreetdigital.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Spark Street Digital<\/a>, our approved local vendor, &nbsp;to crew their production.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-typical-nbsp-event-planning-schedule\"><strong>Typical&nbsp;Event Planning Schedule<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Unless otherwise noted, please email requested information to&nbsp;<a href=\"mailto:sfcc@kff.org\">sfcc@kff.org<\/a>.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\"><strong>Two Weeks Before Your Event:&nbsp;<\/strong>Review your application form and revise to reflect changes in seating, agenda, audiovisual requirements and other logistics and email us the final form.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>One Week Before Your Event:&nbsp;<\/strong>Confirm florist, equipment rental and catering arrangements and schedule deliveries and set ups with our office.<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>Two Business Days Before Your Event:<\/strong>\n<ul class=\"wp-block-list\">\n<li class=\"wp-block-list-item\">Please submit PowerPoint presentations, videos and other audiovisual media a minimum of two business days prior to your event to our conference AV team (<em>Note<\/em>: This email will be provided to approved organizations).<\/li>\n\n\n\n<li class=\"wp-block-list-item\">Submit a final agenda as well as lists of speakers and attendees.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li class=\"wp-block-list-item\"><strong>One Business<\/strong> <strong>Day Before Your Event:&nbsp;<\/strong>We encourage you to schedule a walk-through of the facility the afternoon before your event, once it is set up, to confirm seating and equipment arrangements.
